1. Purpose of the Privacy Policy

This document (hereinafter the "Privacy Policy") describes the manner in which COPTIS, a French "société par actions simplifiée", with a capital of 40.000 euros, whose registered office is at, 8, rue Ernest Gouin, 78290 CROISSY-SUR-SEINE, registered with the Trade and Companies Register of Versailles under number 423 056 589 (hereinafter the "Company" or "us"), processes the personal data of its customers and prospects, collected in compliance with French and European regulations, especially the Regulation (EU) 2016/679 of the European Parliament and of the Council of the 27th April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (also called the "GDPR"), hereinafter the "Data Protection Regulation" or the "Regulation".

For the purposes herein, the capitalized words or expressions that are not expressly defined by the Privacy Policy shall have the same meaning as given to them in Article 4 of the GDPR.

In accordance with Article 4, the concept of personal data (hereinafter the "Data") means any data relating to a natural person identifiable, directly or indirectly, especially by reference to an identifier such as a name, an identification number, location data, an online identifier, or one or more factors specific to its physical identity.

In the context of our activity, we process the Data, within the meaning of the Data Protection Regulation.

If you have signed a contract with our Company, any provisions in the contract that may be contradictory to the terms of our Privacy Policy will prevail over the policy.

We reserve the right to make changes to this Privacy Policy. Every change will be in effect when the updated Privacy Policy is published. We are likely to communicate to you any information and alerts with regard to the Privacy Policy or the Data we collect, in particular by publishing such information or alerts on our website.

You can access websites or SaaS solutions owned by third parties through hyperlinks on our website. COPTIS is not responsible for the content of these websites or SaaS solutions owned by third parties. We strongly recommend that you review the privacy policy of each website you visit. We have no control over, and assume no responsibility for the content, privacy policies or practices of any third party websites or services.

2. Information concerning the processing of the Data

We act as a Data controller when we determine the purposes and means of the Data processing that we undertake.

In order to ensure that your Data is collected in accordance with the Data Protection Regulation, the Company provides you with the following information:

Purposes and legal basis of the processing. In the context of our relationships with our customers and prospects, we undertake Data processing for the following purposes:

2) Answer to your online demonstration requests
3) Answer to your Meet us at a swhow requests
4) Answer to your requests for a free code for "Coptis Ingredients"
5) Answer to your subscription requests to "Coptis Ingredients"

The legal basis for this processing is your consent or the execution of a contract or pre-contractual measures or our lawful interest in pursuing commercial prospecting operations.

Types of Data. The Data processed for these purposes is relating to the identity and contact details of the data subjects (full name, gender, e-mail address, telephone number, position in the company, postal address). In order to improve our services, we also collect user login data (IP addresses, pages viewed, time of connection, type of web browser used…).

Mandatory nature of the form. In order to respond to your requests for information, for opening an account or for an appointment, all fields of the form identified by an asterisk or which are not identified as optional must be completed, and you must check the box for consent to the processing of your Data. Otherwise, we will not be able to answer your request.

Recipients of the Data. The Data is intended for our Company's internal use.

Transfer of Data to a third country. Within the scope of our activities, we are likely to transfer your Data to our subsidiaries located in Singapore and in the United States of America, countries which do not benefit from an adequacy decision of the European Commission. By providing us with your Data, you expressly agree to this transfer and understand the risks inherent to this transfer and the lack of legal guarantees equivalent to those provided under the Regulation. However, we are committed to ensuring that our subsidiaries offer all the necessary guarantees regarding the security and confidentiality of the Data.

Storage period. The period during which data subjects' Data is stored varies according to the purposes for which it is processed.

We store your Data only for as long as necessary for and proportionate to the purpose for which they were collected. For the management of our customers and prospects, Data are stored for an average period of 2 years from the last contact you may have with our Company further to your initiative, or for any longer period in compliance with legal provisions.
However, login data are stored for a maximum period of 24 months.

Exercising the rights of data subjects. In accordance with the Data Protection Regulation, data subjects whose Data we process have:
  • a right to withdraw their consent at any time;
  • a right of access to their Data;
  • a right to rectify or erase their Data;
  • a right to restrict the processing of their Data;
  • a right to object, for legitimate reasons, to the processing of their Data;
  • a right to the portability of their Data.
You can exercise your rights by writing, indicating your full name, e-mail address, and postal address, and attaching a copy of a valid ID. This request may be submitted either:

  • by email: unsubscribe@coptis.com.

These rights may be exercised after the death of the data subject by any person they have designated or by their heirs under the conditions provided by the Data Protection Regulation.

You have the right to file a claim with a supervisory data protection authority, including the French data protection authority (Commission Nationale de l'Informatique et des Libertés) located at 3 Place de Fontenoy, 75334 PARIS CEDEX 07.

We inform you that the provision of your Data does not necessarily means the conclusion of a contract with our Company. However, some answers in our forms are mandatory and marked with asterisks. Failure to provide these answers may prevent us from providing you with information, commercial offers or demonstrations of our products and services.

3. Cookie management policy

Cookies are a text file we place on your hard drive computer or on the memory of your electronic device in order to allow you to use our website.

Most browsers can be set to delete or disable cookies. The settings for each browser are different; refer to the help center of your browser. Disabling cookies may prevent some features of the website from running.

The tracking cookies can be disabled; the cookies needed for the correct operation of the website cannot.


The cookies related to your preferences (for example your language preferences) as well as the cookies needed for the correct operation of your session are stored for a period of 13 months from the date they were deposited on your device, except removal from the application's settings on the visitor's device.

This Privacy Policy is subject to French Law.

5. Language

You may access this Privacy Policy in French or, for convenience purposes, in another language. In the event of a discrepancy between the French version and another version of the Privacy Policy, the French version will prevail.
